FAQ’s

1. What is included in the package?

The package includes everything that you need to get started running on a cloud business solution. We set up your environment and tenant, we configure the modules you need, we add the standard South African requirements, bring in your data and balances, and provide some remote assistance with adoption and training.

2. How does licensing work?

You require Dynamics Business Central Licenses from Microsoft, they are billed monthly per named user. You can increase and decrease users as required, so if you have seasonal peaks, for example, you can get extra user licenses for your peak period and then scale back afterward.

3. How do I link my existing info / system to the new system?

We don’t usually bring in all your existing information into the new Business Central Application. Importing a large amount of data and mapping it to the new Application is very time-consuming and expensive. We will bring in the opening balances and summaries of your previous year.

We will give you some Excel templates to capture your information and we can import that into your Business Central application. This will also give you the opportunity to make sure your data is ‘clean’ and that you only bring the correct information (and data formats) into the new Business Central application.

If you need more detailed integrations, these can be done by API and we would be happy to discuss your requirements with you in detail.

4. What kind of reporting can I do?

The rapid implementation packs all include all the standard Business Central Reporting, which covers all the basic business reports like Income Statements, Balance Sheets, Cash Flow Statements etc.

5. What infrastructure do I need?

Because this is a Cloud-based, Software as a Service (SaaS) application, you don’t need any major infrastructure to host any part of the application. All you will need is for each user to have a relatively updated PC, we recommend that it runs Windows 10 and that you have a stable internet connection.

6. What do I need to do in the implementation?

You need to select one or two Super User(s) – to assist in driving the project from the client-side and to become your internal experts. These Super Users will also help be your first line of support for your live system.

Users will need to do some self-study on the Application and read up on Microsoft Documents on the application processes. This is followed up by remote Adoption sessions to make sure your users understand what they need to do. This approach ensures that end users’ acceptance of the new system is embraced readily.

You are responsible for preparing the clean data for your Master Data and your take on balances.

7. How do my balances / stock get brought in?

We run the take-on process and willfully guide you until the end of the process. You will provide us the following information in Excel:

  • Accounts Payables (Opening balances)
  • Accounts Receivable (Opening balances)
  • Inventory / Stock (stock on hand)
  • Banks – Cash Receipt and Cash Payment (Opening balances)
  • Fixed Assets
    • Acquisition Cost
    • Accumulated Depreciation
8. Can we customise the product?

Yes, you can extend the system functionality, but we advise our clients to adopt standard functionality and only extend where necessary, and only after using the Application for a while to see what works and what doesn’t.

We find, in most situations, that the standard features built into Business Central work for most businesses once they start using them.

9. Can I use my current chart of accounts?

For us to get you going as quickly as we both want we use a set Chart of Account. You can add to that Chart of Accounts if you wish, but we cant introduce a new Chart of Accounts in the rapid deployment, Fixed Outcome/Fixed Cost implementation.

If you feel that you need to maintain your current Chart of Accounts, please contact us and we will quote you on that separately.

10. I have a more complex business, what can you do for us?

If you believe that you business will not fir into one of our standard Rapid Deployment Packages, please contact us and we can discuss a more detailed, customised implementation project with you.

11. What happens if I need help after the implementation?

We do not complete the project and leave you stranded; we care for our clients by providing a Service Level Agreement (SLA) at affordable and discounted rates.

12. What is the difference between User Adoption and User Training?

The concept of user adoption requires that the client drives knowledge transfer and hands-on use of the new technology.

This is largely an internal process with GoS offering a guiding role. On the other hand, training entails an instructor teaching users concepts and is largely theory-driven and facilitated by external parties.

13. What is a Super User and why do I need one?

A superuser is a successful champion who is an early adopter of the new technology.

They are influential to and respected by their peers, which makes their opinions respected. A super user is needed because they drive the use of the new technology and this reduces costs associated with the process.
